ABOUT

UTCT VOLUNTEER INFORMATION

We value the role all our volunteers play in UTCT, so we’ve put together some basic information to provide you with all you will need regarding working on the event.

Before you sign up as a volunteer, please read through the information below so you have an understanding of the roles and responsibilities of volunteering.

Being a volunteer at the Ultra-trail Cape Town requires a special kind of person. Yes, you need to love running and being outdoors, but you also need to understand that it is a long day out there and that signing up is a commitment not to be taken lightly. We rely on our volunteers and need them to take their roles seriously. Any last-minute cancellations throw the team out and it's not cool unless you have a really valid reason!

You get to spend the day giving back by helping runners either out on the route or at the Race Village, plus you also get a Salomon Crew T-shirt. It is some of the best times you will have working on an event. The trail community is a special one and it’s rewarding to be a part of an event where the sense of community is so apparent. All we ask is that you bring a sense of humour, a desire to work hard and give back to the trail running community. Each volunteer will receive the following:

  • A Crew T-shirt.
  • Food and drinks while volunteering.
  • A discounted entry to next years race: R200 for the 21km, R300 for the 35km, R400 for the 65km and R500 off for the 100km.
  • Early registration for UTCT 2022 to guarantee a place.

PLEASE NOTE:

We have been given permission for a 24-hour cut off for the 100km which will impact the times for the Aid Stations and at the Start Finish, as well as all the forerunner and sweep duties. The new times are as follows:

  • Aid Station 1: Signal Hill - 04h00 to 08h00
  • Aid Station 2: Kloof Nek - 04h30 to 09h30
  • Aid Station 3: Table Mountain (Scouts Hut) - 06h30 to 13h00
  • Timing Point: Constantia Nek - 06h30 to 21h30 (shifts)
  • Aid Station 4: Llandudno - 07h00 to 15h00
  • Aid Station 5: Rocket Road - 08h00 to 16h30
  • Aid Station 6: Hout Bay - 08h30 to 19h00
  • Aid Station 7: Alphen Trail - 07h00 to 23h00 (shifts)
  • Aid Station 8: UCT - 09h00 to 01h00 (shifts)

VOLUNTEER ROLES:

There are various roles we are looking to fill so please make sure you indicate your preference when you sign up:

  • Route Markers - Thursday to Sunday
  • Forerunners - Saturday & Sunday
  • Sweeps - Saturday & Sunday
  • Start Finish Staff - Thursday & Friday
  • Start Finish Staff - Saturday & Sunday
  • Aid Station Staff - Saturday
  • Aid Station Staff - Sunday (UCT only)
  • Route Marshals - Saturday & Sunday
  • Mountain Marshals - Saturday & Sunday
  • Mountain Marshals - Sunday

ROUTE MARKERS:

Our Route Markers are required from Thursday to Sunday to assist with marking various parts of the route. This is a small, experienced group who can work well in a team and are used to a long day out on sections of the route, often in the heat of the day. There will be a Route Marking Workshop held in the Constantia green belts to give you an idea of what is expected. This is considered compulsory to attend if you are serious about getting involved.

FORERUNNERS:

Our Forerunners are required from the early hours of Saturday and Sunday morning. This is also open to a small, experienced group of trail runners who can work well in a team. All four events will require groups of forerunners to run ahead of each race to ensure the route is well marked and everything is in place for the runners.

SWEEPS:

Our Sweeps are required for both Saturday and Sunday’s events but we ask that you don’t see this as a chance to run the race as a freebie. Sweeps must be prepared to be out there for the long haul and most of you will run behind the slowest runner so it is going to be a long hike rather than a run. Positions are also limited and there are no guarantees you will get the sweep role.

START/FINISH STAFF:

We require volunteers to assist at Start Finish during Race Week. We would prefer that our volunteers sign up for either the Thursday/Friday Registration or the Saturday and/or Sunday Race Days as we need continuity and don’t want to be dealing with staff changes and training.

Thursday/Friday: These volunteers will assist with Registration, Information Desk, and general admin around the Race Village. If you are signing up for this role, please try to commit to both days. It's not a deal-breaker and we will take what we can in terms of your time.

Saturday/Sunday:  These volunteers will assist with Runners’ Zone, Finish Line Control, Medal Handout and general admin around the Race Village. You can sign up for both days or either Saturday or Sunday.

AID STATION & TIMING POINT VOLUNTEERS:

We require volunteers at the following locations:

  • AS Signal Hill - Open
  • AS Kloof Nek - Open
  • TP Platteklip - Mountain Marshals
  • AS Table Mountain - Scouts Association
  • TP Constantia Nek - Varsity Old Boys AC (Timing point only)
  • AS Llandudno - Celtic Harriers
  • AS Rocket Road - Open
  • AS Hout Bay - Muizenberg Trail Dawgs
  • TP Nursery Ravine - Mountain Marshals
  • AS Alphen Trail - West Coast Athletic Club
  • AS University of Cape Town - Strong2Run
  • TP Deadmans Tree - Mountain Marshals

Timing Points: There is a vital timing checkpoint at Constantia Nek that the 65km and 100km pass through that requires a team of volunteers to manage. This is managed by Varsity Old Boys and their team of volunteers. The other timing checkpoints are the top of Platteklip, the bottom of Nursery Ravine and Deadmans Tree and these are managed by our teams of mountain marshals.

The Aid Station up on Table Mountain is staffed and managed by Paddy Milner and the Scouts Association and does not require additional volunteers.

From the runner’s point of view, these aid stations exist so that runners have a place to get food and water in order to continue running and finish the race. From the race organisation’s point of view, it gives us a place to check on the runners to make sure they are doing ok and are able to continue running. Aid stations are also a place from where we track runners’ progress, record their numbers etc. Simply put, the primary reason we have aid stations is for the runners’ safety and to help the runners accomplish their goal of finishing the race.

The Aid Stations are usually allocated to specific Running Clubs or Groups which are indicated above. There are a few open slots that require an Aid Station Captain so if you are up for it, let us know.

All the Aid Stations are operational on Saturday, but only UCT is operational on Sunday for the 21km trail event. Please make sure you sign up for the correct day and Aid Station.

ROUTE MARSHALS:

We require Route Marshals at strategic points along the route on both race days. Marshals are either part of the Aid Stations and managed by the Aid Station Captains or part of Start Finish and managed by the Route Marshal Captains. Route marshals are required to:

  • Direct the athletes, make sure they are safe in the City section and direct them in and out of the aid stations.
  • Have route knowledge and know the route in and out from their particular position.

MOUNTAIN MARSHALS:

We require Mountain Marshals at strategic points on the mountain on both race days. These marshals are required to work in teams, be familiar with the mountain trails and route access points, as well as be able to hike/run to their allocated points. All Mountain Marshals will be issued with radios and certain positions will be issued with Nano timing devices.

VOLUNTEER BRIEFINGS:

We will be hosting Volunteer Briefings online during Race Week and will communicate these dates and times with the various teams.

These dates and times will be confirmed closer to the race. Please spend some time studying the website (www.ultratrailcapetown.com) to learn as much as you can about the race – this will help you and will also make you a resource for other volunteers and most importantly, the runners.
